Get all the files into as close positions as you can remember from before the crash - which a time machine restore will do.

Then from Leap or Yep latest versions, pick the `/Library/Application Support/OpenMeta/backups folder and it should do it.

Also - to repeat - if you want time machine to back up changes made by tagging files, you can use the advanced prefs to increment modification dates when the file changes. I find that doing this makes apps like pages think that someone has changed a file under it, so I get the occasional weird dialog from them.

--Tom

I have a 10 day vacation coming up that I desperately need to fill with work. ;-)

So here's my idea: I remove and take with me in an external enclosure my projects hard drive (2 TB) that holds all the projects, songs, filmscores etc I've written over the past 10 years to finish tagging the files.

The question is:

When I get back home, will the desktop computer see all the tags that I've been putting in? File paths are obviously the same because it's the same physical drive.

What is the best way of dealing with it? Or should I just be enjoying the sun, cappuccinos and cocktails?

Best
Hans

Hi BlueFrog, thanks for the help.

I've had yep since version 1, but rarely used it. I'm now in the process of digitizing my office with a scanner and want to test my systems before I move on.

I reset yep as described in one of the other posts by deleting the plists. I then opened Yep and selected all filetypes anywhere and told yep to remove them. I then had nothing in Yep. I had also removed all the managed locations in the preferences/managed.

I then selected the manage PDF, MS and Pages docs, but selected no locations.

I then dragged a folder containing subfolders onto the yep 'add' dropbox.

Here's where the problem begins. Yep tells me it's adding files, but cannot add all due to file permissions. However, I cannot find any permission problems.

I then return to Yep to find documents in Yep from other locations. How did that happen?

I seem to be unable to control Yep.

One truly final point, which is that I can tag emails successfully from the Leap window if I navigate to my mail folder from within Leap. The trouble is that I do not read my emails in Leap, I read them in Mail, and want to tag the ones that are important as they come in and I deal with them. I suppose what I will have to do is to keep Leap open displaying the appropriate folder while I am reading email, and then switch to Leap whenever I want to tag an email. This should work, but it would be much easier if there were some way to drag an email from within Mail or control-click and email from within Mail and have the email tagged without be copied.

I noticed one more thing, which is that when I drag an email to the Leap icon on the Dock, and the email then appears in the Leap window (along with Edit Tags window), the email's location is always myuserfolder/Library/Caches/TemporaryItems. When I drag an ordinary file to the Leap Icon, the file stays in its place, but when I drag emails to the Dock icon, they seem to be copied to this temporary items folder. So it seems that Leap always copies emails, when it tags them, either to this Temporary Items folder (if dragging onto the icon in the Dock) or to the Desktop (if dragging onto the DropZone). Am I understanding this correctly?

Whenever I drag an email to the Drop Zone for tagging, the email is copied to my Desktop. But when I drag the email to the Leap icon in my Dock, the email is left in place - at least, it isn't dragged to my Desktop. Is there a reason for this difference in behavior?

The tags added to email via the Dock icon seem not to stick, but in fact they do, it's just that they won't appear via the "Browse" mode, but only the "Go Deep" mode. Hey there, hdendy:

Try this…

1. Select the file and right-click on it. In the context menu select Show Related Documents. If not, then click the Locations dropdown and choose a higher level folder (your User folder is a good place, not too, too broad) and the Bookmark will only add Tags when files are dropped on it.

Hope this makes sense. (I think it's a really handy way to handle this.) Cheers!

Jim

Is there anyway to select a file and then create a bookmark of all the tags applied to that file. A tag only file, not location too. Thanks BLUEFROG,
right now I use Leap as a general file search and Yep for my Project and Document files. When I get a regular invoice (e.g. monthly credit card bill) I think it is no point in tagging each month the new PDF in the same way. It seems natural to tag a folder and just drop it there. So I can find these files easily without having to worry that these type of documents have different tags every month. (I never remember the exact set of tags I have given.)

The more I use Leap and Yep the more I think it would be nice to have a single powerful app that can do all instead.

So I set the value to my "All Types" in my home directory and it took just as long to finish searching.

The more I thought about it the more I realized that this was a pure Spotlight issue. Yep clearly isn't querying Spotlight the same way I was with the mdfind option of "-onlyin" even when I restricted Yep's search to just my home directory because the Yep query was taking so long. But, the root problem was still a Spotlight problem. After some internet searching I found the issue: Spotlight (and thus Yep) was doing a manual search of my bootcamp partition. It was a mounted volume after all. Since Spotlight can't write to the partition to save the indexes it appeared to be falling back to an old fashioned file by file search.

Adding bootcamp to the ignore list made both Spotlight and Yep instantly speedy. It also explains why Yep worked fine on my old mac but not my spiffy new one, I didn't have a bootcamp partition on the old one.

Anyway, problem solved. If Yep seems to be searching forever try the same search with the command line "mdfind" tool. If that takes a long time the check to see if you've got mounted partitions that are not writeable by Spotlight but that Spotlight isn't ignoring.

 OK…

1. The Managed Locations are recursive. That is, it will see whatever is in subfolders of the Managed folder. This is why it's often best to use more specific locations than broad ones. (This is also beneficial from a performance standpoint. You can read my manifesto for more on that - lol)

2. Checking the "Add tagged documents from any location" will pick up any OMTagged file regardless if it's in a Managed location or not. (This is often where people end up with more files than they expected.)

3. If you unchecked all three fileTypes in the Managed Preferences this would just mean that Yep would not automatically Manage any files, anywhere. This is a convenience operation, not a necessity to run Yep. You could drag and drop Manage all your files just fine. What this does is allow you to specify locations you may commonly use to drop files / work in / etc.
(Also, remember that these locations are dynamic. You can add and remove them as you need to. Say you're using it for a job - dropping PDFs, etc. in it. At the end of the job you could remove it from the Managed Prefs and new files in it would not be tracked anymore.)

4. Leap does seem simpler in a way because Yep has the added requirement of Managing files. But Leap also sees files differently than Yep. Yep automatically filters out unManaged files which makes it easier to filter out the noise of a directory and find the relevant items without being Tagged.
On a side note: I think part of the problem is people's misunderstanding (or misuse) of what Managing files is all about. This may be just a philosophical difference but you shouldn't Manage everything you have. (If you want to see all your files then use Leap.) No one needs to Manage every email they've ever received, or every file they've ever created. Manage the things you need to Manage. Use Leap for power-searching (you can still mark them as Managed from within Leap, for use in Yep, if you want to.)

Hope this helps (and makes some kind of sense).

Jim

 Simon:

I'm not sure what you're seeing.

I made a new folder on my Desktop (not a Managed location) called newFolder. I dropped that into the Managed Preferences in Yep with PDFs, etc. checked. Then I dropped a brand new PDF into the folder in the Finder. A few moments later it showed up in Yep (Remember that Spotlight has to index the change so there may be a little delay depending on what Spotlight is up to.).

As far as seeing the folders with Managed files, do you have the Locations pane visible? You may need to right-click the toolbar and replace the default set as shown here…

About Yep not importing some fileTypes, could you give me more info on that? Yep should Manage any file you have permission to Tag regardless of fileType (though its visibility is dependent on it being in a Spotlight indexable place).

 thanks Jim,

Is there any reason why a folder dragged into yep does not appear in the managed locations in the preferences? How can I check which folders are being managed? I've also got the problem that Yep told me when I dragged the folder into Yep that it couldn't include all files. I've checked the read permissions and there is no problem there. I'm now in the situation where I've got Yep managing a folder, but don't know which files have been excluded. Kind of defeats the point of managing folders for me. It also makes me unsure if I can trust Yep to manage my files as some may not be included.

I have to say, this keeps pushing me back to Leap and asking the question what the point of Yep is. Leap is easier to configure and does everything Yep does bar the scanning. I've set my scanner to open a new scanned document in Yep and it works really well. The new document appears in Yep and I can rename it, tag it and place it in a location I want it, it really is superb. My only snag is that the management thing just isn't working.

That's not what it has actually been doing. I've had to keep highlighting the files in yep and telling yep to remove them.

It is still unclear to me how yep manages its files. the PDF, MS and Pages option dialog actually says "Found in these locations:" giving the impression that it will log only PDF, MS and Pages in those locations. Experimentation tells me this is untrue. I am unable to find any clear documentation on Yep's management rules, and more importantly, how to change them. It seems that Leap is a darn site simpler to configure, making me really wonder about the use of Yep.

I bought and try to use the whole Ironic Software package, but I still have some problems to understand the big picture. I tried to tag a folder in Yep 2 and noticed that it doesn't seem to be possible to do so. Strangely, in Tagit and in Leap tagging folders seems to be no problem. Is there some concept behind this idea or is it just because Yep cannot manage folders. I would expect to have the Yep sidebar being not less powerful than the freeby Tagit.

Regards,
Martin, slightly confused

To add another data point to my initial problem... I can find files just fine using mdfind, so spotlight is working. However, there's a huge performance difference if I don't include certain parameters.

A search (looking for my yep license key as an example) limited to my machine:
Mikes-iMac:~ michaelf$ time mdfind "Yep 2.0 key kagi pdf" -onlyin /
/Users/michaelf/Documents/Filed Documents/2010/8/4/Yep 2.0 Key.pdf

real	0m0.097s
user	0m0.009s
sys	0m0.006s

A search not limited to my machine:
Mikes-iMac:~ michaelf$ time mdfind "Yep 2.0 key kagi pdf"
/Users/michaelf/Documents/Filed Documents/2010/8/4/Yep 2.0 Key.pdf

real	4m22.361s
user	0m0.010s
sys	0m0.006s

It's important to note that the second output returns the results virtually immediately but carries on searching for another 4 minutes and 21 seconds. Yep appears to have the same behaviour. Finder has similar behaviour if I select "This Mac" but not if I select my home dir. Yep eventually finds something, but it takes so long to search it's not worth using. I've tried limiting the default search to just the computer rather than "Anywhere" but without luck.

I'm hoping someone has a suggestion on how to properly scrub spotlight or resolve the issue.

I clicked on it, and a dialogue box stated that how the backup would be dealt with, and that it was going to be a lengthy process. I decided that now wasn't the time for a lengthy backup, but was fairly frustrated that there was no "cancel" option on the dialogue box. Only an "ok" option. Even "quit leap" was blanked out on the file menu, so my only real option (other than "ok") was to force quit leap (which I did). It seems a bit silly to warn the user that they're in for a long process, but give no way to back out of it. I'd recommend a "cancel" option there.

Cheers,
eomat

 Martin:

Have you ever selected any of the PDFs in Yep and pressed Delete (or selected "Remove from Yep")? If so, these files are marked as Managed = 0 and will not be automatically picked up by Yep (This is by design. Otherwise Yep would continually try to reAdd files you've removed.)

Jim

I think I am having the same Problem. I added my folder for Research Papers and PDFs in the Yep Preferences for automatically mark the files as managed. I selected PDF, MS Office and iWork documents. Still, not a single PDF gets marked as managed. I have to manually "Add" the files to be able to see them in Yep.

However, new files in that folder seem to get marked as managed? Is that the behaviour Yep is supposed to work?

I've recently bought the pack Leap+Yep+Fresh and I love it.

While searching for emails, I came across this small improvement opportunity. Maybe not straightforward to implement, but incredibly useful...
It would be fantastic to have a threaded view when searching for emails. Or say "group by thread". This would avoid many emails from the same thread to show up as result and make the search for that particular email so much quicker.

thanks for this great software!

Multiple windows seem to me like a necessary "given" for any app that wants users to think of it, even occasionally, as a "Finder replacement." I hear the rejoinders about "tagging obviates the need to drag files from one window to another", but that is not the main reason I — and I suspect many users — often have multiple Finder windows open. It's to have multiple, partial views of my files available to me at once. It's about "multi-tasking". It's why we have multiple applications open at one time, why we have tabbed browsing, ad infinitum. And speaking of tabs, they would absolutely be a nice touch. One or the other (windows, tabs) would be great; both would be sublime.

And actually, I could even imagine attaching a useful meaning to "drag a file or files from one window to another", perhaps "add the tags associated with the destination window to the target file" ... although I confess I haven't thought this through. Regardless, multiple windows are something I wanted to have almost from the moment I opened Leap (and Yep too, frankly). I just don't want to throw away one "search" or "smart folder" or whatever you want to call it just because I want to initiate a new search.

Let me add my strong opinion that there needs to be a way to view one's list of all tags without having to resort to workarounds to do so. When I am about to tag a new file (or group of files), I can't necessarily remember all of the tags I've created, and although I might blindly stumble upon an appropriate already-created tag by typing the first few letters and seeing what I want in the list of completions, this is also no way to do effective tagging.

Why not have the complete current existing list of tags available to be skimmed or scanned by the user? It certainly enhances one's feeling of control (which is on the other hand reduced when one can't recall a potentially relevant tag and has no one-step non-kludgy method for finding it).

This function, it seems to me, is especially useful when one has an exceptionally large number of files and/or tags, as in when the files are associated with various academic purposes, but even at that I think I'm underestimating the usefulness of this "all tags" list.

J

In Finder, I normally rename by tapping Return after selecting the file, optionally type Command-A (Select All) to include an extension (if any) I want to change, then type the new name. Double-clicking the name too quickly unintentionally opens a file too often; a click-Return on it is reliably faster.
